Streamline HR Processes With Personnel Action Forms Software

2 Mins read

Hardworking employees look forward to their promotions, and most successful business owners look forward to rewarding them. However, before automation, it was incredibly time-consuming and difficult for human resources managers to initiate changes to an employee’s pay rate via paperwork.

Fortunately, with the development of personnel action software, the process has become quicker, easier, and more reliable. Completing and verifying changes can take a small fraction of the time it once took while maintaining accurate records. As a result, employees receive the pay they deserve on time and payroll departments can focus on other pressing matters that require a human touch.

What is the personnel action?

Personnel action is defined as an action or event that impacts a public employee’s compensation, whether it be through promotion, demotion, transfer, assignment, or raise based on an evaluation of employee performance.

When an employee’s pay changes significantly in some way, HR typically has to make a record of the change, fill out and process paperwork that finalizes the pay change, and store the information in the database so that future paychecks follow the new pay rate. This can be incredibly time-consuming and may even complicate matters for employees who must wait for all paperwork to be completed for their promotion to be “official.”

Personnel action software streamlines the process

Before HR departments started to automate personnel actions, changing an employee’s pay required quite a bit of red tape and paperwork. Additionally, HR would have to maintain close monitoring of paychecks to ensure that the pay change was not forgotten between pay periods.

With personnel action software, HR departments can keep all of their personnel action forms in a database. That way, when an employee receives a promotion, most of the information on the employee’s account can be automatically added to all the necessary forms. From there, HR professionals scan over the information for accuracy, make the necessary changes to initiate new pay, and file the form. The forms usually do not need to be printed out (as electronic signatures can be used), and the software’s filing system stores new records in their designated location, including copies to the employee’s file.

Most personnel action software can be integrated with other programs like payroll software. As a result, you do not have to transfer large amounts of data manually; the information only needs to be changed manually in one program. The integrated programs will show the appropriate changes in the employee’s payroll and tax calculations, freeing HR staff from much of the work that goes into manually changing an employee’s pay rate. This means that most of the time, HR staff needs only to verify the information in the database rather than keying in all of the necessary notes. The software takes care of the menial work.

Personnel action software takes the time and hassles out of initiating and managing changes to employee pay, but it also helps keep HR and payroll up to speed with accurate data and smart storage of records.
